Reuse a recurring task workflow

Document inputs, rules and outputs, then complete one manual run before reusing it.

1. Write down repeatable steps

For a weekly report, spreadsheet comparison or asset check, define the input location, selection scope, processing rules, output location and completion checks. A reusable process still needs valid inputs.

Read the files supplied for this weekly report. List received files, extract progress, figures and risks, write the agreed report structure and check numeric sources. Save a new file named for the reporting week. Do not overwrite originals or reuse last week’s numbers when inputs are missing; stop and list questions.

2. Run a small sample manually

Complete the whole process in a regular chat. Check the input files, template, traceable figures and saved output. Fix the process until completion is clear. Save the approved instructions, including inputs, steps, exception handling and output requirements; “same as last time” is insufficient.

3. Use a board when task volume grows

A task-management plugin can organize cards and track planning, to-do, in-progress and completed states. Follow the installed plugin’s instructions and test a task linked to a conversation. For scheduled execution, first verify that the plugin supports schedules and what app, network and account state it requires. A reusable prompt alone does not guarantee execution while the app is closed.

4. Open results and check omissions

After each run, open the result and check for missing sources or content. Add missing inputs before continuing. Request concrete corrections if the result does not match the instructions.

Report the processed files, output location, checks performed, skipped items and questions needing review. Do not describe a started task as a finished result.
